ABOUT LE DINER EN BLANC
Created in 1988 in Paris by François Pasquier and a few close friends, Le Dîner en Blanc has become, in a few decades, the must-attend event for epicureans around the world. A true showcase of French culture and its art of living abroad, this concept has seduced nearly 120 cities and 40 countries worldwide. Even if the technology has evolved over the years, the fundamental principles of the concept have not changed: Guests, dressed elegantly in white, gather in one of the most beautiful (secret) locations in their city, with the goal of sharing a convivial meal with friends.

ABOUT THE POSITION
The organizer is looking for an Event Project Manager, and/or a co-organizer.

Project Manager
The role of the Project Manager is to maintain the event budget, find suppliers, make quotes, create/enforce the production schedule, create/update communication documents, centralize all communications, supervise/assist the Volunteer Leaders in their role, supervise/assist the Production Manager, ensure the overall coordination of the event. This is essentially a communication and coordination role (project follow-up)

Co-organizer
The organizer also wishes to find a person with experience in event management, willing to invest in the long term in the organization of the Dîner en Blanc de Paris, as co-organizer.

PROJECT MANAGER PROFILE
The person we are looking for must :

  • Be highly organized (essential)
  • Have an excellent level of French and a good level of English (written and oral)
  • Be comfortable with technological tools (computer)
  • Experience in event management desirable
  • Good stress management essential


Availability: Immediately and full time (3 months)
Annual salary: To be discussed according to experience
Location: Paris or its western suburbs

DESCRIPTION OF RESPONSIBILITIES AND TASKS

PRE EVENT

  • Software training
  • Help with recruitment / training of volunteer leaders
  • Recruitment of Production Manager
  • Search for subcontractors
  • Budgeting / Accounting


COMMUNICATIONS

  • Communications in English and French (without mistakes)
  • Reply to emails / Website / Social Media
  • Update press releases, invitations, etc...


COORDINATION

  • Production backlog
  • Budget forecast
  • Prepare payments
  • Signing of contracts and confidentiality agreements
  • Supervision of subcontractors
  • Preparation of volunteer leaders' meetings
  • Technical assistance (platform)
  • Supervision of the different managers (PR / CM / Prod. Director / Volunteer Chefs / Photographers / Interns etc...)
  • Collaboration with the International team based in Montreal
  • D-Day Production Schedule


D-DAY

  • Presence and general coordination of all participants on site all day of the event, and until the departure of all participants
  • Supervision of the cleanliness of the site


POST EVENT

  • Continue to respond to communications 15 days after the event (Facebook, web, emails)
  • Finalize accounting (invoices and payments)
  • Organize the retrospective meeting + write the report
  • Retrieve lists of people absent from the event (black list)
  • Writing and sending thank you notes
  • Update the website
  • Collecting photos, videos, media coverage


And all other related tasks...
